                    Smart Nutrition Bites Policy

Ordering & Shipping Terms

  • Order Submission: Orders can be placed online through our website, by e-mail, or by leaving a voicemail. When using voicemail, please include your school’s name, your contact information, and a detailed list of items with their quantities.
  • Order Deadline: To ensure Monday delivery, orders must be placed by Wednesday at 4 PM.
  • Free Shipping: Enjoy free shipping on orders exceeding $99 within the Greater Toronto Area (GTA).
  • Shipping Fees: For orders below $99, a shipping charge will be calculated and applied at checkout.
  • Delivery Schedule: Deliveries are conducted every Monday between 8:00 AM and 3:00 PM, directly to the designated location (e.g., fridge or freezer).
  • Access & Contact Information: Schools/Daycares/Camps must provide the door number or exact entrance information for delivery. If delivery cannot occur during school hours, contact information for morning or night custodians will be requested to ensure proper storage of the products.
  • Delay Communication: In case of delays, our office or driver will notify the school office. Delays might occur due to factors beyond our control, such as weather conditions, traffic, accidents, or time required for proper unloading and storage. Your understanding and patience are appreciated as the safety of our drivers is our top priority.
  • Storage Space: Please ensure that there is adequate space available in your refrigerator or freezer for the delivered products.

Product Handling & Responsibility

  • Product Packaging: All products are delivered in their original packaging, and we do not open any cases. As such, we may not be aware of any issues like spoilage or damage within the cases.
  • Damage/Spoilage Notification: It is essential that schools report any product damages or spoilage to us. Refunds or credits will be processed accordingly.
  • Reporting Process: To report an issue, please email us photos of the spoiled product, including the product label, lot number, batch number, or any other relevant information to orders@smartnutritionbites.ca.
  • Refund and Credit: If a refund is applicable, a credit memo will be issued and emailed to the school, which will be applied to the next invoice. Schools may dispose of the affected product once the credit memo or replacement product has been received.
  • Product Collection: We will not be able to retrieve the spoiled product until the next scheduled delivery.
  • Refund Eligibility: Refunds are applicable in cases of incorrect product delivery, damaged products, or spoiled items.
  • Storage Guidelines: To prevent spoilage or wastage, please consult the storage guidelines for each product (freezer, fridge, or room temperature) on the product information page.

Safety & Compliance

  • Allergen-Free Products: All products provided by Smart Nutrition Bites are free from peanuts and tree nuts. Schools are responsible for reviewing the ingredients list on the product information page and ensuring that no food allergies are overlooked before serving to children.

Returns & Claims

  • Return Policy: Any returns must be reported within 24 hours of delivery. A pick-up fee may apply if necessary.
  • Handling Damaged Items: Please retain any damaged items until we either replace them or issue a credit. Claims cannot be processed if the items are discarded before verification.

Disclaimer

  • Liability: Smart Nutrition Bites is not responsible for any adverse reactions resulting from allergies or the consumption of products that have not been checked against individual student allergies by the school. Schools must ensure that the ingredients list is carefully reviewed before serving food to children.

Payment Terms

  • Payment Deadline: Payments must be mailed within 15-31 days of the delivery date. Accepted payment methods include cheque, credit card, or Electronic Funds Transfer (EFT).
  • Account Management: Accounts with overdue payments exceeding 45 days will be locked, and no further orders will be processed until payment is received.

Pricing

  • Price Adjustments: All prices are subject to change without prior notice.

Privacy Policy

  • Confidentiality of Information: Contact information provided by school staff when placing orders will be kept private and only used for communication related to orders and deliveries.
  • Protection of Financial Information: School accounting details will remain confidential and will not be shared with third parties outside of Smart Nutrition Bites.
